Your candidate signs from a link on their phone, with no account to create. The counter-offer window is measured in hours, and this is the step that used to cost you two days of it.

Why it drags

An offer letter is a race. Every hour between a verbal yes and a signed contract is an hour in which a candidate's current employer can counter, and the traditional flow - PDF, print, sign, scan, email back - is designed to lose it. Worse, it asks the candidate to find a printer during the exact week they are trying not to be noticed at their current job.

    Upload the offer and the employment contract

    Send them together as one document, so the candidate agrees to the terms and not only the headline.

    Place the candidate's fields

    Signature, date, and any free-text fields they need to complete - start date, tax number, banking details if your process collects them there.

    Route the countersignature

    Sequential signing lets the candidate sign first and your authorised signatory countersign automatically afterwards, without anybody chasing.

No account, no friction, no delay

A candidate who has to create an account to accept a job is a candidate given a reason to pause. They open the link and sign.

A dated record of acceptance

The audit trail timestamps the acceptance to the second, in UTC, against a specific email address and device. Employment disputes turn on dates more often than on terms.

Countersigned without a second chase

Sequential routing means your signatory is asked only once the candidate has actually signed, and never before.

Questions about offer letters

Is an electronically signed employment contract valid in South Africa?

Yes. Employment contracts are ordinary agreements under the ECT Act and are not on its excluded list. An electronic signature satisfies a signature requirement that does not specify a form.

Can the candidate sign before we countersign?

Yes - that is what sequential signing is for. Set the order so the candidate signs first and your authorised signatory is asked automatically once they have.

Can I collect details as well as a signature?

Yes. Add free-text and date fields for anything the candidate needs to supply, and assign them so only the candidate can complete them.

What if the candidate declines?

They can decline with a reason, which you see immediately, rather than leaving you to guess at silence.
